Director of Sales, Marketing & Promotions

Job Title:        Director of Sales, Marketing & Promotions               

Department:   Sales, Marketing & Promotions Department

Reports To:    Assistant General Manager

Status:          Full-time, exempt

Summary:  The Director of Sales, Marketing & Promotions is responsible for the overall supervision and performance of the Sales, Marketing and Promotions Department.  Specific duties include: Responsible for sales and marketing of all events at the Broadmoor World Arena, Pikes Peak Center and the Ice Hall; Promotions that maximize ancillary sales; Develop and manage marketing and promotional plans for each venue and its events.   Negotiate and purchase media buys; Sponsorship fulfillment; Supervise and direct the overall performance of the Department which includes New Media Manager, the Group Sales Manager, the Technical Marketing Manager and the Penrose Club Concierge.

Primary Activities:

  • Develop marketing and promotional plans for Broadmoor World Arena and Pikes Peak Center events.
  • Utilize marketing assets to maximize ancillary sales such as food/beverage, parking and merchandise.
  • Prepare and execute media schedules and promotions for online, street, radio, print, tv, social and email campaigns which generate interest and result in ticket sales.
  • Work with promoters to develop event marketing plans, including, but not limited to, sales budgets and goals, target audiences, marketing materials, special promotions and incentives.
  • Plan and oversee marketing budget and submit marketing back-up documentation for each events settlement. 
  • Develop excellent relationships with Club Members and develop activities to engage them in World Arena and Pikes Peak Center events.
  • Develop promotions to increase Club Membership.                         
  • Develop and maintain excellent relationships with venue sponsors and proactively fulfill sponsor agreements.
  • Track the success of marketing plans and promotions and develop contingency plans based on timely evaluation.
  • Provide excellent customer service for promoters.
  • Develop and maintain excellent relationships with media partners.
  • Develop press announcements/releases.
  • Hiring, supervision and direction of the department staff and services as it pertains to Marketing, Club Membership, Media Buying, Social Media, Group Sales and Sponsor fulfillment.

.Other Activities:

  • Act with the Broadmoor World Arena’s and Pikes Peak Center’s best interest in mind. 
  • Promote and adhere to the Broadmoor World Arena’s mission statement and employee handbook.

Work Schedule:

Knowledge, Skills and Abilities:

  • BA in Marketing or related field
  • Minimum of 5- 7 years’ experience in media buying preferably in a sports or entertainment environment with a clear understanding of return on investment which results in ticket sales.
  • Successfully demonstrate knowledge and decision making of principles, practices and terminology of advertising, marketing and social media.
  • Ability to analyze and prepare marketing budgets.
  • Strong organizational skills, written and verbal communication skills, team oriented.

Parking Operations - Part Time

Job Title: Parking Operations

Reports to: Parking Operations Supervisor

SUMMARY

This position is responsible for various guest relations and activities including but not limited to directing incoming and outgoing traffic in/out of the World Arena Parking Lots. Applicants must be friendly, outgoing and customer service oriented approaching each guest with a positive attitude and enthusiasm. Applicants must have the ability to work irregular/extended hours based on events including evening, weekend and holidays as needed. This position is required to work both indoors and outdoors including inclement weather as needed.

SPECIFIC JOB DUTIES, but are not limited to the following: 

  • Positively represent the World Arena – Must be friendly, outgoing and customer service oriented approaching each guest with a positive attitude and enthusiasm.
  • Direct incoming and outgoing traffic in/out of World Arena parking lots.
  • Other duties include patrolling parking area to ensure guests and vehicles are safe, pick up and clean up designated parking areas during and at the end of each shift.
  • Must be able to work irregular/extended hours based on events including evening, weekend and holidays as needed.
  • Must be reliable and dependable.
  • Must be able to follow directions.
  • Must be a minimum of 18 years of age.

PHYSICAL REQUIREMENTS:

  • Must have the physical ability to maneuver around facilities, at times walking and/or standing up to 6-12 hours daily.
  • Must be able to lift/move up to 20 lbs.

Marketing Intern - Fall 2017 - Part Time

JOB TITLE: Marketing Intern

REPORTS TO: Marketing Coordinator

SALARY: Paid Internship

HOURS: Part Time

Internship Description:
The Broadmoor World Arena and the Pikes Peak Center are looking for a college junior, senior, or graduate student to serve as an intern. Both venues are managed the Colorado Springs World Arena, a local 501-c3 non-profit organization. Both are host to world class performers including CC Hockey, Alan Jackson, Huey Lewis and the News, and the Ringling Brothers and Barnum & Bailey. As an intern with our organization you will be introduced to every aspect of event marketing and have the opportunity to be involved with the process every step of the way.

This internship will be paid for Fall 2017.

Intern Objectives Include:
• Assist with / learn the planning and promotion of family shows, concerts, and arena sporting events 
• Assist with / learn day-of-event operations associated with all marketing and group sales events such as client parties, birthday parties, and corporate functions before and/or during the event.
• Assisting marketing and group sales staff with various projects involving research including conducting demographic and psychographic research for various department projects
• Learn to maintain and build the social media databases
• Grassroots marketing research and execution by going out into the community with a regular employee to represent the arena at festivals, fairs, and other events with high traffic to publicize arena and events coming to us. This will be done to flyer, poster, create relationships with various retailers, and get the word out about the arena and the upcoming shows
• Data entry for Cyber Club, e-mail database, and sales force: and assisting in ways to increase our database
• Learn to make group sales calls and Assist Group Sales Manager in researching corporations, scouts, schools, and other businesses that may be interested in group sales events.
• Help with the creation and execution of group sales plan and group sales flyers.
• Gathering event news clips for various building public relations
• Assist with various public relation functions such as: brainstorming, executing public relation events and performing all other duties assigned
• Assist in training of new intern rotations.

* This particular internship will focus on promotional graphics/assets for web and social media in addition to those listed above. Prior experience with Adobe Photoshop is highly preferred.

Requirements:
• Must be college junior, senior or grad student seeking an internship to satisfy a class credit requirement for a marketing replated field (housing and transportation are the student's responsibility).
• Hours/schedule based on school's credit hour requirements; Minimum of 15 hours per week; evenings, weekends, and HOLIDAYS will likely be required based on event calendar. 
• Fall Internship is from August to November with opportunity to extend into December. 
• Working knowledge of Adobe Acrobat Reader and Photoshop a plus
• Working knowledge of Microsoft Word, Excel, PowerPoint, Publisher and Internet a plus

Housekeeper - Part Time

REPORTS TO:  Housekeeping Manager

FACILITY:  Broadmoor World Arena, Ice Hall and Pikes Peak Center

DEFINITION: Under general supervision, cleans assigned areas, stocks all supplies needed for assigned area; and performs related duties as required.

EXAMPLES OF DUTIES:

1. Sweeps, scrubs, and mops floors; vacuums, spot cleans, high dust and low dusting.

2.Cleans walls, windows, mirrors, pictures, mini-blinds, bookcases, computer screens, and water fountains; washes, dusts, and polishes furniture, woodwork, shelves, and metal work; cleans rest rooms and replenishes rest room supplies; and collects and empties waste receptacles.
3. Notifies supervisor of minor building maintenance repairs, including replacing light bulbs; repair to office furniture; and refers work requiring major maintenance or repair to appropriate sources.
4. Performs job in a safe manner using proper body mechanics. Responsible for the proper care of all equipment, supplies and financial assets involved in the performance of the job.
5. Additional duties may be outlined by facility. Duties and responsibilities may be added, deleted, or changed at any time at the discretion of the management.

EMPLOYMENT STANDARDS:

Some commercial cleaning experience; or, equivalent combination of training, education, and related experience that would provide the required knowledge and abilities. Possession of valid Colorado Driver’s License is required along with dependable transportation to and from work.

Knowledge of: Current cleaning methods, equipment, cleaning solutions, mops, buckets, body mechanics, wet and dry vacuum cleaners, ladders, cleaning and maintenance safety practices, Right to Know SDS sheets and OSHA practices.

Ability to: prepare cleaning materials and solutions, including choosing proper tools and cleaning agents; work in contact with strong cleaning and disinfecting solutions; add and subtract small numbers; speak English sufficiently to communicate with supervisor and fellow employees; understand and follow oral and written directions in English; read signs, labels, work schedules, and instructions; follow safety precautions and procedures; plan and complete assigned duties within allotted time frames; and work independently and well with others.

SUPPLEMENTAL INFORMATION: Many of the essential functions of this position are characterized by demanding physical work requiring such physical activities as standing, pushing, pulling, stooping, kneeling, crouching, and reaching. Moving, handling, lifting and transporting heavy furniture and equipment are also required.   Applicant will be required to work evenings, weekends and holidays. 

Event Services Coordinator / Video production

This position will report to the Director of Event Services for The Broadmoor World Arena and Pikes Peak Center

SUMMARY:

Under direction of the Director of Event Services, the Event Services Coordinator/Video Production will hire, train and supervise the Scoreboard and Video Production staff. They will deploy and produce graphics and video marketing materials. This person will also perform all tasks necessary in the coordination of certain Broadmoor World Arena and Pikes Peak Center events that require production.

Candidate must be organized; detail-oriented and demonstrate excellent written and verbal communication skills. Candidates must be able and willing to work a varied schedule which may include extended hours, evenings, weekends, and holidays.

Job Description and Responsibilities:

  • Under Direction of the Director of Event Services, determine staffing needs and hire, train, schedule, and supervise the video and scoreboard production staff.
  • Formulating graphics and videos for events using the Scoreboard system. Creating promotional video loops using pre-produced marketing videos and graphics.
  • Liaison between Video/Scoreboard Production staff and the Facilities staff where equipment, facility or I.T. needs are concerned
  • Liaison between Video/Scoreboard Production staff and the Marketing Department where creative design, graphics, video and marketing media support are required.
  • Develop and implement the Video and Scoreboard staff Annual Part Time Staff Training Meeting.
  • Operate Scoreboard, Video and Marquee equipment as a backup to designated graphics or video staff.
  • Plan, coordinate and execute assigned events at The Broadmoor World Arena and Pikes Peak Center for the Performing Arts.
  • Communicate with event promoters, event managers, and production managers throughout all stages of events; from pre event planning throughout event execution and settlement, coordinate the requirements of each event based on the client contracts and production riders.
  • Coordinate with operations, changeover, housekeeping, box office, and catering, marketing, and technical services to insure that logistical details of each event are being delivered.
  • Coordinate external contract equipment and labor needs including but not limited to audio, lighting, backline, heavy equipment, vehicles, gases, décor, etc. and ensure timely delivery and set up.
  • Prepare written information and requirements for each event; prepare floor plans and ensure compliance with applicable fire, building, and safety codes; communicate changes before and during events.
  • Represent the organization at events; facilitate pre and post-event walk through to assess facility condition; enforce facility policies and procedures throughout each event; identify and resolve event challenges; resolve public complaints.
  • Schedule stagehands for assigned events.
  • Supervise back of house operations and staff including stagehands, security and conversion crew during assigned events.
  • Supervise and assist Front-of-House Guest Service staffing with customer service, safety and security to meet the operational, service, and financial needs of the event.
  • Develop and manage event budgets and complete settlement documents for each event.
  • Assemble and prepare settlement invoices/bills including labor, in-house and rental equipment etc.
  • Provide excellent customer service to a wide variety of customers - internal and external.
  • Performs all other duties and responsibilities as assigned.

EXPERIENCE:        

Preferred Qualifications:

  • 4-year bachelor’s degree from an accredited institution in Sports Management, Theater Management, Video Production, Business Management or other related field.
  • Additional years of experience may be substituted for formal education
  • Experience in Television engineering, coordination or an equivalent field.
  • Relevant experience in the operation, service and maintenance of video production/playback equipment, large screen video boards (CRT and LED), matrix displays, video walls, and CCTV systems.
  • Experience operating in a digital/component world as well as analog environment with the ability to integrate these systems.
  • Experience with Adobe Photoshop and video production software preferred.
  • Experience with video production and coordination is preferred
  • Must have strong customer service skills
  • Ability to meet deadlines and work effectively under stressful conditions
  • Proficient in Word, Excel, Outlook and CAD programs
  • Ability to lift 50lbs
