Director of Event Services

TITLE:  Director of Event Services

REPORTS TO:  Assistant General Manager

FACILITY:  The Broadmoor World Arena

This position will report to the Assistant General Manager for The Broadmoor World Arena, Pikes Peak Center and World Arena Ice Hall.

SUMMARY:

The Director of Event Services will provide leadership and direction of the Event Services Department of The Broadmoor World Arena and Pikes Peak Center. The Director will ensure that the Event Services Department operates with the highest level of professional standards. Candidates must be able and willing to work a varied schedule which may include nights, overnights, weekends, holidays, extended work hours and extended numbers of days.

Job Description and Responsibilities:

  • Oversight of all aspects of Event Department staff including Mangers, Coordinators, Stagehands, Audio/Lighting/Video Technicians, and Guest Services Staff and event related activities.
  • Direct supervision of the Senior Event Services Manager, Event Services Manager and Event Services Coordinators.
  • Delegate event coordination responsibilities and communicate event assignment information to clients and The Broadmoor World Arena Staff.
  • Work with the General Manager or Booking Manager to prepare Pre Contract labor and equipment estimates, CADs and any other necessary information.
  • Manage production equipment for The Broadmoor World Arena and Pikes Peak Center. Schedule usage and maintenance of all production related equipment. Develop and train staff on proper usage, transportation and usage of production equipment. Maintain inventory of consumable production items including Lighting color gel, production light bulbs, gaffers tape etc.
  • Develop proposals for purchase of new or replacement production equipment.
  • Maintain an accurate and complete production/tech rider for The Broadmoor World Arena and Pikes Peak Center.
  • Maintain the monthly event department Full Time work schedule and keep updated as event schedules evolve. To ensure that all event activities that require the presence of an Event Department representative are covered.
  • Create the monthly 3rd party schedule and update as may be required by event changes.
  • With the input from The Broadmoor World Arena Directors, Assistant GM and General Manager, develop and implement the overall agenda for annual P/T all staff meeting.
  • Assist the Sr ESM in the development of Stagehand and Technical Production hiring needs and hiring procedures.
  • Assist the Sr ESM with development of Stagehand and Technical Production training and development.
  • Assist the ESM in the development of Part Time Guest Services hiring needs and hiring procedures.
  • Assist the ESM with development of Part Time Guest Services training and development.
  • Develop and manage in house created events.
  • Communicate with event promoters, event managers, and production managers throughout all stages of events; from pre event planning throughout event execution and settlement, coordinate the requirements of each event based on the client contracts and production riders
  • Coordinate with operations, changeover, housekeeping, box office, catering, marketing, and technical services to insure that logistical details of each event are being delivered
  • Coordinate external contract equipment and labor including but not limited to audio, lighting, backline, heavy equipment, vehicles, gases, décor, etc. and ensure timely delivery and set up
  • Serve as a facility representative at events; facilitate pre and post-event walk through to assess facility condition; enforce facility policies and procedures throughout each event; identify and resolve event challenges; resolve public complaints
  • Supervise back of house operations and staff including stagehands, security and conversion crew during assigned events
  • Supervise and assist Front-of-House Guest Service staffing and assure that it is adjusted to balance customer service, safety and security to meet the financial needs of the event
  • Manage event budgets and complete settlement documents for each event
  • Communicate event requirements for the scoreboard, auxiliary boards, marquee and video equipment
  • Prepare written details and requirements for each event; prepare floor plans and ensure compliance with applicable fire, building, and safety codes; communicate changes before and during events
  • Collect and prepare settlements including labor, in-house and rental equipment etc.
  • Provide excellent customer service to a wide variety of customers - internal and external
  • Performs all other duties and responsibilities as assigned

EXPERIENCE:  

Preferred Qualifications:

  • Demonstrated progression of responsibility and leadership
  • 4-year bachelor’s degree from an accredited institution in Event Management, Theater Management, Business Management or other related field is preferred
  • A minimum of 7 years’ experience managing events in a theater or arena is preferred
  • Additional years of experience may be substituted for formal education
  • Experience with technical theater equipment (lighting & audio) is preferred
  • 5 years of experience and knowledge of events and clients of The Broadmoor World Arena and the Pikes Peak Center
  • Must demonstrate strong leadership skills
  • Ability to meet deadlines and work effectively under stressful conditions
  • Proficient in Word, Excel, Outlook and CAD programs
  • Ability to lift 50lbs

Parking Operations - Part Time

Job Title: Parking Operations

Reports to: Parking Operations Supervisor

SUMMARY

This position is responsible for various guest relations and activities including but not limited to directing incoming and outgoing traffic in/out of the World Arena Parking Lots. Applicants must be friendly, outgoing and customer service oriented approaching each guest with a positive attitude and enthusiasm. Applicants must have the ability to work irregular/extended hours based on events including evening, weekend and holidays as needed. This position is required to work both indoors and outdoors including inclement weather as needed.

SPECIFIC JOB DUTIES, but are not limited to the following: 

  • Positively represent the World Arena – Must be friendly, outgoing and customer service oriented approaching each guest with a positive attitude and enthusiasm.
  • Direct incoming and outgoing traffic in/out of World Arena parking lots.
  • Other duties include patrolling parking area to ensure guests and vehicles are safe, pick up and clean up designated parking areas during and at the end of each shift.
  • Must be able to work irregular/extended hours based on events including evening, weekend and holidays as needed.
  • Must be reliable and dependable.
  • Must be able to follow directions.
  • Must be a minimum of 18 years of age.

PHYSICAL REQUIREMENTS:

  • Must have the physical ability to maneuver around facilities, at times walking and/or standing up to 6-12 hours daily.

Changeover Crew - Part Time

JOB TITLE:  Changeover Crew Part Time  

DEPARTMENT:  Facilities Services                                 

REPORTS TO:  Conversion& Tech Manager                     

SUMMARY:  This part time position is responsible for converting the Broadmoor World Arena from one event set-up to another on an as needed basis.  This position is very physical and requires long periods of standing, walking and lifting.  Employee must be able to work a part time varied schedule (weekdays, weekends, and holidays); mainly late nights.  

DUTIES AND RESPONSIBILITIES:

The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned.  Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.

  • Perform event set-ups and facility conversions
  • Perform routine maintenance assignments
  • Maintain all areas of the arena in safe and clean condition
  • Remove and install hockey glass
  • Assist in building stages and setting chairs for events
  • Install and remove ice deck and/or flooring

Housekeeper - Part Time

REPORTS TO:  Housekeeping Manager

FACILITY:  Broadmoor World Arena, Ice Hall and Pikes Peak Center

DEFINITION: Under general supervision, cleans assigned areas, stocks all supplies needed for assigned area; and performs related duties as required.

EXAMPLES OF DUTIES:

1. Sweeps, scrubs, and mops floors; vacuums, spot cleans, high dust and low dusting.

2.Cleans walls, windows, mirrors, pictures, mini-blinds, bookcases, computer screens, and water fountains; washes, dusts, and polishes furniture, woodwork, shelves, and metal work; cleans rest rooms and replenishes rest room supplies; and collects and empties waste receptacles.
3. Notifies supervisor of minor building maintenance repairs, including replacing light bulbs; repair to office furniture; and refers work requiring major maintenance or repair to appropriate sources.
4. Performs job in a safe manner using proper body mechanics. Responsible for the proper care of all equipment, supplies and financial assets involved in the performance of the job.
5. Additional duties may be outlined by facility. Duties and responsibilities may be added, deleted, or changed at any time at the discretion of the management.

EMPLOYMENT STANDARDS:

Some commercial cleaning experience; or, equivalent combination of training, education, and related experience that would provide the required knowledge and abilities. Possession of valid Colorado Driver’s License is required along with dependable transportation to and from work.

Knowledge of: Current cleaning methods, equipment, cleaning solutions, mops, buckets, body mechanics, wet and dry vacuum cleaners, ladders, cleaning and maintenance safety practices, Right to Know SDS sheets and OSHA practices.

Ability to: prepare cleaning materials and solutions, including choosing proper tools and cleaning agents; work in contact with strong cleaning and disinfecting solutions; add and subtract small numbers; speak English sufficiently to communicate with supervisor and fellow employees; understand and follow oral and written directions in English; read signs, labels, work schedules, and instructions; follow safety precautions and procedures; plan and complete assigned duties within allotted time frames; and work independently and well with others.

SUPPLEMENTAL INFORMATION: Many of the essential functions of this position are characterized by demanding physical work requiring such physical activities as standing, pushing, pulling, stooping, kneeling, crouching, and reaching. Moving, handling, lifting and transporting heavy furniture and equipment are also required.   Applicant will be required to work evenings, weekends and holidays.
